Title: Administrative Assistant: Programs and Funding
Employment Status: Full-Time (1.0 FTE), Regular, Non-Exempt
Reports To: Director of Organizational Development
PURPOSE: To assist and support the Director of Organizational Development and related fundraising, communications, and program offices in the administrative work of the Minnesota Council of Churches with regard to funding, and data base management.
RESPONSIBILITIES: To provide administrative assistance to the Director of Organizational Development:
- Program Commission, Development Committee, Minnesota Church Foundation and Program Committee Meetings
- Manage all communications and other logistics with members regarding attendance;
- Prepare agendas and attachments for all meetings; and
- Take and prepare minutes for all meetings.
- Database Management
- Provide overall coordination of MCC’s database, including being the primary person during the database conversion (working closely with both finance and the office manager during the transition);
- Provide staff trainings on database work;
- Input and maintain all donor, and relationship data;
- Participate in managing the adoption of new database software, both financial and “congregation/donor/client,” and ensuring they are integrated.
- Donor Appeals and Grant Proposals
- Provide assistance in grant proposal development, including making and collating copies, accuracy of attachments, records and files;
- Maintain donor tracking of corporations, foundations, and government agencies, in coordination with the Assistant Director of Organizational Development;
- In coordination with the Assistant Director of Organizational Development, maintain accurate calendar, providing timely communication to the appropriate staff of MCC so that commitments, obligations, and deadlines can be kept;
- Managing the relationship with an outside vendor for layout and design process, printing, collating, and mailing, including ensuring that there are sufficient funds in postal accounts;
- Program Procedures Manual:
- Update policies and procedures as needed;
- Identify new policies and procedures that are needed, and work closely with the Director of Organizational Development and Program Directors/Organizers in drafting new policies;
- Work closely with other members of the Central Administrative Team to ensure Program Policies and Procedures are aligned with other P&P’s within the Council.
- Communication
- Working closely with the Director and Assistant Director of Organizational Development to interpret the Council to various audiences through print and electronic newsletters, web site, display booths, brochures, and other collateral
- Ensure that PD/O’s, and other MCC staff, are gathering stories and pictures for Council-wide publications, web site, and other media
- Front Desk
- Welcome visitors, particularly direct service clients, to the Council office and ensure that they are connected to the correct staff
- General Support
- Ensuring that Director of Organizational Development is setting and following program and finance plans and calendars;
- Maintaining up-to-date files and other forms of record-keeping;
- Ensuring that all contracts are managed, and records are maintained and kept current;
- Ensuring quality flow of work and communications between Directors of Finance and Facilities, and Organizational Development, as well as with and to the Executive Director with regard to finance, funding, data base management, and program changes;
- Preparing correspondence;
- Managing telephone inquiries, correspondence, and Emails;
- To perform such other duties as may be assigned by the Director of Organizational Development.
QUALIFICATIONS:
- Successful previous office management experience.
- Demonstrated administrative aptitude: ability to coordinate complex work assignments, good follow through with details, willingness to take initiative, ability to work with minimal supervision.
- Demonstrated aptitude with administrative support tasks, including typing, filing, meeting support, and telephone support.
- Proven ability to work with other people.
- Demonstrated effective communication and writing skills.
- Experience with financial procedures.
- Ability to use Macintosh and PC computers and related software including word processing, spreadsheet, desktop publishing, database management, and Internet access.
- Familiarity with and sensitivity to the constituency of the MCC including diverse ethnic and religious backgrounds.
- Consent to and pass criminal background check.
COMPENSATION: This is a non-exempt, full-time position. Benefits include medical insurance, pension, sick leave, vacation, and holiday benefits as provided by MCC human resources policy.
